Tuition centre management systems in Malaysia

What does a tuition centre system from CodaMinds include?

A tuition centre system from CodaMinds is a website and console where parents enrol a child, book a class and pay the fee, teachers mark attendance on their phone, and parents get updates without a group chat. It runs in English, 中文 and Bahasa Melayu, covers one branch or several, and we run it after launch.

Steven Lim started the studio in Kuala Lumpur in 2021 and has built apps and websites since 2016. We have not built a tuition centre system yet, and we would rather say so here than on the first call. What we would build draws on two products we run: Ribbon, which handles bookings, payments and chat every day, and the Dilly Deli console, which handles orders, customers, stock and reports for a shop. The person you message is the person who builds your system, in English, 中文 or Bahasa Melayu. We meet centre owners in person across the Klang Valley, and work with centres in the rest of Malaysia, Singapore and further abroad over WhatsApp and a shared draft link.

Where a tuition centre's admin goes today

Most centres run on a paper enrolment form, a timetable in a spreadsheet, a class group on WhatsApp for every class, and a front desk that chases fees one message at a time. It works for one branch and a few classes. It stops working when the second branch opens, when a teacher covers classes in two places, or when a parent asks why their child was marked absent last Tuesday and nobody can find the record. Six pieces fix that.

Enrolment and class booking

A parent opens the enrolment page, picks the subject, the level and the branch, and sees the classes with a free seat. Each class has a capacity you set, so a full class stops taking bookings and offers a waitlist instead. A trial class can be booked the same way, with its own rule. Brothers and sisters sit under one parent account, so a parent with three children fills in their details once. The booking lands in the class list for that branch, and the front desk sees new enrolments as they arrive instead of retyping them from a form.

Attendance on the teacher's phone

The teacher opens the class on their phone and taps each student present or absent. The record is kept per student, per class, per date, so the question about last Tuesday has an answer. A parent can be told when their child is marked absent, and where your policy allows a replacement class, the parent picks one from the classes with a free seat at the same level. The owner sees attendance across every class and branch, and can spot a student who has stopped turning up before the fee stops too.

Fee reminders and payments

Each family gets a statement for the fees due, with the subjects, the sibling or early-payment rule you set, and a link to pay online. A reminder goes out before the due date and again after it, from the system, not from a staff member's phone. A payment marks itself as paid, and the receipt goes to the parent. The front desk sees one list of what is outstanding, by branch and by family, instead of a notebook. Cash and bank transfers paid at the counter are recorded in the same place, so every family has one balance.

Parent updates without group chat chaos

A class group with every parent in it does three jobs badly: announcements get buried under replies, every parent sees every other parent's number, and a question about one child is asked in front of the whole class. The system splits those jobs. Announcements go to a class, a level or a branch, and each parent sees them in one place. Results, homework notes and schedule changes for a child go to that child's parents alone. WhatsApp stays for the conversations that need a person, one tap away from every page, between a parent and the centre. Parents' and children's details are personal data under Malaysia's Personal Data Protection Act 2010, which is one more reason not to keep them in a group chat.

Teacher schedules and branches

Every teacher has one timetable across every branch, so a class in Cheras and a class in Puchong cannot be booked into the same hour. When a teacher is away, the centre assigns a cover teacher and the parents of that class are told. The console counts the classes each teacher taught, which is the number their pay is worked out from. Each branch sees its own classes, rooms and fees; the owner sees all of them, side by side, in one console.

Three languages, for parents and for staff

Parents read different languages, and the same centre often teaches in more than one. Each language is a real set of pages with its own address, so a parent who searches in 中文 finds the 中文 enrolment page. Statements, reminders and announcements go out in the language each parent chose. Staff can run the console in one language while parents read in another.

What we have built that a tuition system draws on

No tuition centre runs on our work yet. These two products carry the machinery it needs.

Ribbon

ribbon.my · our own product

Runs bookings, payments, refunds and chat every day in Malaysia, Singapore, Taiwan and Thailand. Class booking, fee payment and parent messages are the same pieces in a different room.

Dilly Deli

mydillydeli.com

An operator console for orders, products, stock, customers and reports behind a restaurant shop, built and not yet switched on. A centre's console for classes, families, fees and branches is built the same way.

What the work includes

Brief. You tell us the subjects, levels, branches, how fees are set and how parents pay today. We reply with questions and a written scope.

Fixed quote. One price for that scope, agreed before any work starts. Anything outside it is quoted first.

Draft on your phone. You open the draft link, enrol a child and pay a fee as a parent would, then mark attendance as a teacher would, and tell us what to change. We revise until you sign off.

Launch. We put the system live on your domain, with hosting and data in the centre's name, and hand over every file, the console included.

Care after launch. A new branch, a new subject, a fee change for the new school year or a new report is a message away, each quoted before it starts. See website maintenance.

Questions

Have you built a tuition centre system before?

No, and we say so up front. What we would build for you draws on Ribbon, which runs bookings, payments and chat every day, and on the Dilly Deli console for orders, customers and reports. You see a working draft on your phone and sign it off before launch, so you judge the system itself, not a promise.

Can parents enrol and pay fees online?

Yes. A parent picks the subject, level, branch and class with a free seat, and the enrolment lands in that branch's class list. Fees go out as a statement with a link to pay online, reminders go out before and after the due date, and a payment marks itself as paid. Cash paid at the counter is recorded in the same place.

Can teachers mark attendance on their phone?

Yes. The teacher opens the class and taps each student present or absent, and the record is kept per student and per date. Parents can be told when their child is absent, and where your policy allows a replacement class, they pick one from the classes with a free seat at the same level.

Does it replace our WhatsApp class groups?

It replaces the jobs a group does badly. Announcements go to a class, a level or a branch, and a child's results and notes go to that child's parents alone, so no parent sees another parent's number. WhatsApp stays for conversations between a parent and the centre, one tap away from every page.

Can one system run several branches?

Yes. Each branch has its own classes, rooms, teachers and fees, and the owner sees every branch in one console. Every teacher has one timetable across branches, so the same teacher cannot be booked into two places at once, and the console counts the classes each teacher taught.

Can the system be in 中文 and Bahasa Melayu?

Yes. English, 中文 and Bahasa Melayu in any combination, each a real set of pages on its own address that search engines can find, not a translation widget. Statements and reminders go out in the language each parent chose, and staff can run the console in a different one.
